How we collect, use and protect your personal information — and your rights under GDPR.

Last updated: 2026

We take your privacy very seriously. Please read this policy carefully — it explains who we are, how and why we collect, store, use and share your personal information, and how to contact us if you have concerns.

🏢 Who We Are

Self Storage Concierge Limited ("we", "us") operates the website selfstorageconcierge.com. When we collect and use your personal information, we are regulated under the General Data Protection Regulation (GDPR), which applies across the United Kingdom. We are the 'controller' of that personal information for the purposes of those laws.

📋 The Personal Information We Collect

Information provided by you

In the course of operating our business, we collect personal information when you provide it to us — such as your name, postal address, email address, phone numbers, date of birth and payment details.

We also collect personal information if you apply for a job with us or work for us for any period of time.

Information from third parties

Occasionally we may receive information about you from other sources (such as credit reference agencies), which we add to the information we already hold to help us provide services and improve our offering.

Information about other individuals

If you provide information on behalf of someone else, you confirm that the other person has agreed that you can:

  • Give consent on their behalf to the processing of their personal data
  • Receive on their behalf any data protection notices
  • If relevant, give consent to the transfer of their personal data abroad

Sensitive personal information

We will not usually ask you to provide sensitive personal information. We will only collect it where strictly necessary, with your explicit consent, and we will explain why at the time. Sensitive data includes information relating to ethnic origin, political opinions, religious beliefs, trade union membership, health or sexual life.

Children

We do not knowingly collect personal data relating to children under the age of 16. If you believe we may hold information relating to a child in your care, please contact us — we will ask you to verify your relationship and may delete that data subject to applicable law.

🔍 How We Collect Information

We gather information directly from you — face to face, over the telephone, via our website, or through other technical systems. We collect data when you request a quote, use our website or app, enter a live chat, send us feedback, or post material on our website.

We may monitor and record communications (telephone and email) for quality assurance, training, fraud prevention and regulatory compliance purposes.

Use of cookies

A cookie is a small text file placed on your device when you use our website. We use cookies to understand how visitors use our site (for example, visitor numbers across different pages). This information does not identify you individually.

We use analysis software to look at IP addresses and cookies to improve your experience. If we collect personally identifiable information through cookies, we will be transparent about this and explain how it is used.

Managing cookies: You can set your browser not to accept cookies — visit aboutcookies.org or allaboutcookies.org for guidance. Note that some features of our website may not function correctly if cookies are disabled.

⚖️ Why We Collect Your Information

Contracts

We collect personal information to take steps to enter into and perform our contract with you, including to:

  • Follow up on storage enquiries and provide quotes
  • Conduct credit checks (see below)
  • Prepare storage agreements
  • Manage your account and process payments
  • Notify you of changes to our services
  • Resolve disputes or collect overdue payments

Legal obligations

We collect and use personal information to comply with our legal obligations — for example, taking copies of identity documents to satisfy anti-money laundering and counter-terrorist financing requirements.

Legitimate business interests

We collect personal information to pursue our legitimate business interests, including to:

  • Conduct research and analyse website visitor behaviour
  • Customise website content to your preferences
  • Improve our services and detect fraud
  • Prevent offensive or disruptive content on our platforms
  • Communicate information about services and promotions

You may unsubscribe from marketing emails at any time by clicking "unsubscribe" at the bottom of any email, or by contacting us directly.

Credit checking

We may conduct a credit check to inform our credit decisions. These checks may also help prevent and detect fraud and money laundering. Our search will be recorded on the files of the relevant credit reference agency.

Who your information might be shared with

We may disclose your personal data to:

  • Service providers supporting our business operations (fraud prevention, debt collection, payroll, technology)
  • Credit reference agencies
  • Trade associations of which we are a member
  • Law enforcement or government agencies investigating unlawful activity
  • Any person named as an alternate contact on your account
  • Any agent, legal representative or power of attorney acting on your behalf
  • A potential buyer or merger partner in a business sale or restructure

If we use an outside party to process your information, we require them to act only on our instructions and not for their own purposes.

🔒 Keeping Your Information Secure

We have appropriate security measures in place to prevent your personal information from being accidentally lost, misused, or accessed without authorisation. Access to your data is limited to those with a genuine business need, who are bound by a duty of confidentiality.

Technical measures we use include:

  • Password and username protection on your customer account
  • Storage of personal data on secure servers
  • Encryption of payment details on our secure server

We have procedures in place to handle any suspected data security breach and will notify you and any applicable supervisory body where required by law.

Please note: While we use all reasonable efforts to keep your personal data safe, the internet cannot be entirely secure. If you have particular concerns, please contact us.

Our website may contain links to third-party sites. These sites have their own privacy policies and cookies — we recommend reviewing them before providing any personal information. We are not responsible for those sites.

🌍 International Transfers

We may transfer your personal data to a country outside the United Kingdom for data processing purposes. Where we do so, we will always ensure that the transfer is subject to appropriate safeguards to protect your personal data. Please contact us for further information.

🗄️ How Long We Keep Your Information

We will usually retain your personal information as a customer or employee for the period required by applicable UK law — currently 6 years from the end of our contract, or 6 months after an unsuccessful job application — unless you request earlier deletion (see Your Rights below).

Your Rights

Under the GDPR you have a number of important rights, including the right to:

  • Request a copy of the information we hold about you (subject access request)
  • Require us to correct any mistakes in your information
  • Request the erasure of your personal information in certain situations
  • Require us to stop processing your information for direct marketing
  • Object in certain situations to our continued processing of your information
  • Restrict our processing of your information in certain circumstances
  • Object to automated decision-making that produces legal or significant effects on you
  • Receive your personal information in a structured, machine-readable format and transmit it to a third party

Further information on each of these rights is available from the Information Commissioner's Office.

To exercise any of these rights, please email us with proof of your identity (driving licence or passport + a recent utility bill or credit card statement) and details of your request. We will not charge a fee in most cases.
